This guide explains how to link or create candidate and contact records in ATZ CRM when they represent the same person, streamlining your recruitment process when a candidate becomes a client or vice versa.
Overview
ATZ CRM allows you to:
Link an existing candidate with an existing contact if they are the same person.
Create a new candidate from a contact or a new contact from a candidate.
View linked records in both candidate and contact profiles for easy access.
Steps to Link or Create Records
1. Access a Candidate or Contact Profile
Navigate to the candidate or contact record in ATZ CRM.
2. Initiate Linking
Click the Link To Contact/Candidate button on the profile:
For a Candidate record: Locate the button in the candidate’s profile.
For a Contact record: Locate the button in the contact’s profile.
3. Link or Create a Record
Link Existing Record:
In the pop-up, search for the existing contact or candidate record to link.
Select the record and click the green Link Contact or Link Candidate button to connect the two.
Create New Record:
If the corresponding record doesn’t exist, click the blue Add Contact or Add Candidate button.
Enter the details to create a new record, which will automatically be linked to the current profile.
4. View Linked Records
Once linked, access the associated record under the Linked Record section in both the candidate and contact profiles.
Unlinking or Deleting Records
1. Unlink Records:
Click the Contact Linked or Candidate Linked button in the profile.
Select Unlink to disconnect the records without deleting them.
2. Delete a Record:
Delete a candidate or contact record as you would normally.
Note: Linked records are separate entities, so deleting one (e.g., a contact) does not affect the other (e.g., the candidate).
Notes
Use Case: This feature is ideal for scenarios where a candidate becomes a client (e.g., a hiring manager) or a client applies for a job.
Data Integrity: Ensure the linked records accurately represent the same person to avoid confusion.
Compliance: Verify that linking or deleting records complies with data protection policies (e.g., GDPR). Refer to Data Protection Policies.
