Common Causes of Duplicate Records
Duplicates may occur due to:
Adding the same record with different email addresses or phone numbers.
Importing a CSV/Excel spreadsheet with repeated records (e.g., same email, phone, or LinkedIn URL).
Entering the same company with slight name variations (e.g., “Apple Inc.” and “Apple Incorporation”).
Allow Duplicate setting toggled ON in Account Settings.
Steps to Merge Duplicate Records
The merging process is identical for candidates & contacts.
1. Access the Primary Record
Navigate to the primary record (the one you want to keep) in ATZ CRM.
2. Initiate the Merge
Click the three dots in the top-right corner of the record.
Select Merge from the dropdown menu.
3. Select the Duplicate Record
In the pop-up, search for and select the duplicate record to merge with the primary record.
Note: Only empty fields in the primary record will be updated with data from the duplicate. Existing data in the primary record will not be overwritten.
4. Confirm the Merge
Click the Merge button to start the process.
The system will notify you that the merge has been initiated.
Caution: Ensure the records are true duplicates, as the duplicate record will be permanently deleted upon merging. For example, two candidates with the same name may not be the same person.
5. Receive Confirmation
You will receive a notification in ATZ CRM once the merge is complete.
Notes
Irreversible Action: Merged records cannot be unmerged, and the duplicate record is permanently deleted. Double-check before proceeding.
Preventing Duplicates: To avoid future duplicates, toggle Allow Duplicate to OFF in Account Settings or review imports carefully.
Compliance: Ensure merging complies with data protection policies (e.g., GDPR). Refer to Data Protection Policies.
Performance: Recent updates to similar CRM systems indicate faster merge processing with improved duplicate detection algorithms.
