This guide explains how to effectively manage your deals within ATZ CRM, including creating, editing, and tracking deals to streamline your recruitment process.




What is a Deal in ATZ CRM?


A deal in ATZ CRM represents a potential revenue-generating opportunity tied to a candidate placement or a client agreement. It allows you to monitor the financial aspects of your recruitment activities, from initial negotiations to final agreements.





Adding a New Deal


To create a new deal in ATZ CRM, follow these steps:

  1. Navigate to the "Deals" section from the main menu on the left-hand side.

  2. Click the "+ Add Deal" button located at the topbar.

  3. Fill in the required details in the pop-up form:

    • Deal Name: Assign a clear, identifiable name to the deal for easy reference.

    • Job: Link the deal to a specific job opening, if applicable.

    • Organization: Select the client or company associated with the deal.

    • Candidate: Choose the candidate linked to this deal, if relevant.

    • Amount: Enter the anticipated revenue for the deal.

    • Deal Owner: Assign the team member responsible for managing the deal.

    • Close Date: Closing date of the deal

    • Stage: Select the current stage of the deal within the pipeline (e.g., "Initial Contact," "Negotiation," or "Closed").

    • Custom Fields: Add any additional information specific to your workflow, if needed.

  4. Click "Save" to create the deal.



Once saved, the deal will appear in your Deals List page, allowing you to track its progress.





Editing an Existing Deal


To update a deal’s details, follow these steps:

  1. Go to the "Deals" section in the main menu.

  2. Locate the deal you want to edit in tha deal list.

  3. Click on the deal to open its details.

  4. Select the "Edit" option (represented by a pencil icon).

  5. Modify the necessary fields, such as revenue, close date or stage.

  6. Click "Save" to update the deal.


This ensures your deal records remain accurate and up to date.





Adding Notes to a Deal


You can add notes to a deal to document important updates or communications:

  1. Open the deal by clicking on it from the "Deals" section.

  2. Navigate to the "Notes" tab within the deal’s details.

  3. Click "Add Note" and enter the relevant information.

  4. Save the note to keep a record of all interactions and updates.


Notes help maintain a clear history of the deal’s progress and communications.





Adding Activities to a Deal


Track tasks, meetings, or other activities related to a deal by adding them as follows:

  1. Open the deal from the "Deals" section.

  2. Go to the "Activities" tab.

  3. Click "Add Activity" and choose the type (e.g., call, meeting, or task).

  4. Fill in the details, such as date, time, and description.

  5. Save the activity to associate it with the deal.


This feature helps you stay organized and ensures all deal-related actions are tracked.





Viewing Deal Details


To view comprehensive details of a deal:

  1. Navigate to the "Deals" section.

  2. Click on the deal you want to review.

  3. Explore tabs like "Candidates", "Jobs", "Notes", "Activities", "Contacts" or "Attachments" to access all relevant information.


This centralized view provides a complete picture of the deal’s status and history.





Managing Deals via Pipelines


ATZ CRM’s pipeline feature allows you to visualize and manage deals through various stages:

  1. Access the "Deals" List page and click on "Board View" to view your pipeline.

  2. Drag and drop deals between stages (e.g., from "Prospect" to "Negotiation") to reflect their current status.


Deal Stages indicate the different steps in a deal’s journey. Each stage is given a particular percentage value, which reflects the portion of revenue recognized as the deal progresses.


You can tailor the deal stages and build a deal pipeline to suit your needs.


Deal Pipeline provides a clear, visual way to track deal progression and prioritize tasks.





Generating Deal Reports


To analyze your deals and revenue:

  1. Go to the "Reports" section in the Sidebar.

  2. Under the "Account Snapshot" section 

  3. Deals by Value: 
    This report allows you to generate a comprehensive report to track all your deals and the accumulated revenue.

  4. Deals by Stages:
    This report allows you to generate a comprehensive report to track all your deals based on the stages. 


Reports help you gain insights into your recruitment business’s financial performance.







What are the different Deals Pipeline's metrics?

There are 4 metrics you need to take into consideration while keeping track of your Deals in ATZ CRM:


Total Weighted Pipeline

Represents the proportion of revenue earned according to the deals' current stages in the Deal Pipeline.

Total Pipeline

Represents the sum of the total deals' values, regardless of their stage.

Deals Won

Measures the total revenue earned on deals in the "won" stage.

Deals Lost

Measures the total revenue lost on deals in the "lost" stage.







How to change the Deal's currency?

The deal's currency is the same as the account's currency. 

Only the Account Admin has the option to change the Account currency from Admin Settings -> Account Details:






How to archive a Deal?

There are two ways you can archive a deal:

 

1. From the Deals list page

Navigate to the deals list page, select the deal(s) you wish to archive, and click on the "Archive" button from the top header: 


2. From the Deals details page

Open a deal that you wish to archive, click on the 3 ellipses, and choose the "Archive Deal" option from the dropdown menu:
