Guide to Enabling Unsubscribe/Opt-Out Links for Emails in ATZ CRM

This guide explains how to include an unsubscribe/opt-out link in emails sent to candidates and contacts in ATZ CRM, as well as how to manually manage opt-out settings to maintain an effective email marketing strategy.



Overview


ATZ CRM allows you to include an unsubscribe link in emails, enabling candidates and contacts to opt out of future communications. You can also manually opt out or re-enable email communication for specific records. 


Opted-out records are automatically excluded from bulk email campaigns, ensuring compliance and a streamlined contact list.


Note: Opting out applies to all records linked to a specific email address, preventing further email communication to that address.



Including an Unsubscribe Link in Emails



1. Compose an Email

  • Create an individual or bulk email in ATZ CRM for candidates or contacts.



2. Enable the Unsubscribe Link

  • Check the Include opt-out/unsubscribe link box in the top-right corner after composing the email.



3. Recipient Action

  • The email will include a clickable unsubscribe link.

  • When a candidate or contact clicks the link, they will be marked as Opted Out in ATZ CRM, and their profile will display an “Opted Out” label.



4. Automatic Exclusion

  • Opted-out candidates and contacts are automatically skipped during bulk email campaigns, so you don’t need to filter them manually.



5. Customize the Unsubscribe Button

  • Go to Admin Settings > Email Opt-Out Settings to customize or translate the text of the unsubscribe button.




Manually Opting Out a Candidate or Contact



1. Access the Profile

  • Navigate to the candidate’s or contact’s profile in ATZ CRM.



2. Initiate Opt-Out

  • Click the three dots in the top-right corner of the profile.

  • Select Opt-out of email from the dropdown menu.



3. Confirm Opt-Out

  • In the pop-up, click the green Yes, opt them out button to confirm.

  • The record will be marked as opted out, and no further emails can be sent to that email address.




Re-Enabling Email Communication for Opted-Out Records



1. Access the Profile

  • Open the profile of the candidate or contact marked as opted out.



2. Remove Opt-Out Status

  • Click the Remove opt-out from all emails button or click the candidate/contact’s email address.

  • In the pop-up, confirm that you want to re-enable email communication.



3. Completion

  • The opt-out label will be removed, allowing you to send emails to the candidate or contact again.




Limitations

  • Bulk Opt-Out: ATZ CRM does not currently support bulk opt-out actions. Opt-outs must be managed individually via each profile.

  • Compliance: Ensure your email practices align with data protection (e.g., GDPR) and email security policies (e.g., SPF, DKIM, DMARC). Refer to Email Protection Policies.
